Employee file

Definition

The set of personnel documents and data held on one person for their whole time at the company.

An employee file is the documented history of the relationship between a person and a company: the contract and its amendments, orders, evidence of qualifications, personal data, records of transfers and commendations. It is both HR's working instrument and the first thing requested in an inspection or a labour dispute.

How an electronic file differs from a folder

A paper folder answers the question "which documents exist". An electronic file answers two more: is the data current, and what is connected to what. A change of position on the record automatically means both an entry in the history and the basis for it — the order that caused it.

Which gives the main practical difference: on paper, a mismatch between the file, the staffing table and the timesheet is normal and noticed at an annual audit. In a system it cannot happen, because all three read the same data.

What a file has to contain

The exact composition is set by legislation and internal policy; the core is almost always the same.

  • Personal data and identity documents — with restricted access and an access log.
  • The employment contract, its amendments, and every personnel order.
  • Evidence of qualifications: education, certifications, clearances, in-house training.
  • Movement history: positions, grades, units and dates — the raw material of length of service and career path.
