Offboarding

Definition

The departure procedure: documents, final pay, handover and closing access.

Offboarding is a managed exit from the company. It covers not only the order and the final payment but the handover, the return of property, the revocation of access and the exit interview. Done badly, it costs the company money and standing in the labour market.

What a careless departure loses

Three things. Knowledge: unfinished work and untransferred contacts take months to reconstruct. Security: active accounts belonging to former employees are a standard finding in any audit. Reputation: someone whose final pay was late tells every subsequent candidate about it.

There is a legal side too: deadlines for final settlement and for issuing documents are set by law, and a breach here goes straight to a labour dispute. The error is rarely malice — it is that the settlement depends on a timesheet that closes later.

What the checklist has to contain

Offboarding is easy to describe as a checklist, which is exactly why not having one is indefensible.

  • Personnel documents: the order, the final settlement, documents issued within the statutory deadline.
  • Handover: open tasks, system access, physical assets and keys.
  • Access revoked on the day of departure, not whenever IT gets round to it.
  • An exit interview: the reason for leaving, recorded in a comparable form rather than as a free-form story.
