Onboarding

Definition

The first weeks of a new hire's work, planned so that they reach productivity sooner.

Onboarding is a managed entry into the job: paperwork, training, an introduction to the processes and the first tasks done unaided. It starts not on day one but as soon as an offer is accepted, and it ends when the employee can work without support.

Why it affects turnover more than anything else

A large share of departures in retail and hospitality happens in the first few weeks. The reason is rarely pay: the person did not understand what was expected, did not know who to ask, and spent half of day one waiting for paperwork. All of that is solved by organisation, not by money.

Hence a practical conclusion: onboarding is cheaper than any retention measure. Replacing a sales assistant who left in the first month costs more than two planned weeks of induction, because the cost includes hiring again, training again, and the store running short in the meantime.

What the plan consists of

Good onboarding is a checklist with owners and dates, not a welcome email.

  • Before day one: paperwork, access, uniform, a workplace, an assigned mentor.
  • Day one: the shift schedule, who the manager is, where things are, basic training and safety induction.
  • The first two weeks: short role-specific courses and tests, first tasks under a mentor's supervision.
  • Checkpoints: end of week one, end of month one, end of probation — each with a stated criterion for "ready to work unaided".

How this works in Verifix

In Verifix onboarding begins with an accepted offer in Recruit: the candidate record becomes an employee file, hiring documents are generated from templates in E-Docs and signed with a digital signature, and role-specific courses and tests are assigned in Learn automatically.

From day one the employee sees their shifts, tasks and training in the app, while the manager sees progress against the induction checklist. So "nobody set up their access" and "nobody showed them" stop being invisible problems.

In short

Onboarding is the cheapest defence against turnover: it costs two weeks of planning, and its absence costs a second round of hiring.
