ATS (applicant tracking system)

Definition

The system where vacancies and candidates are run from application to offer.

An ATS is a recruiter's workplace: one place where every application lands, where each candidate's stage is visible and where the conversation history is kept. Without one, the hiring funnel lives in inboxes, spreadsheets and the recruiter's head — and leaves with them.

What changes once there is an ATS

Hiring without a system fails less on candidate supply than on candidate loss. CVs arrive through four channels, a two-day-old application is already unfindable, and the hiring manager cannot recall who they saw. An ATS removes that loss: a candidate becomes one record and stops falling out of the process.

The second consequence is that hiring becomes measurable. Until stages are recorded, nobody can say where the funnel narrows — at screening, at the manager's interview or at the offer. With an ATS every transition has a date, and the bottleneck is visible without asking anyone.

What it has to contain

Feature lists look alike across vendors, but four things create the value; the rest can wait.

  • A stage kanban with a configurable funnel: factory workers, salespeople and office roles travel different paths, and forcing them into one template defeats the point.
  • Automatic collection of applications from every channel — job boards, a Telegram bot, the website form — with no manual re-entry.
  • Communication history on the record: who called, what the candidate said, why they were rejected. The same history stops a rejected person from being invited again.
  • Hiring metrics out of the box: stage conversion, time to hire, candidate sources.
