An access control system is the hardware and software that decides who can come in and records who came in. It starts as a security system, but HR uses it as a source of actual time: the entry log is the only objective evidence of when a person was on site.
Why access control alone does not produce time records
An entry log holds events, not working time. It does not show whether there was a shift, whether the person went to lunch, or whether they came in on their own shift or covered for a colleague. Until those events are matched against a schedule, any access-control report remains a pile of stamps.
Which is why the typical situation is that the hardware is installed and the timesheet is still filled in by hand. The data exists, but there is nobody to turn it into hours worked — that requires a schedule, rounding rules, breaks and overtime handling.
What it takes to get to real time records
The gap between "the hardware is up" and "the timesheet computes itself" is closed by four things.
- A shift schedule in the system: with no plan, there is nothing to compare the facts against.
- Event-processing rules: first entry and last exit per shift, breaks, permitted lateness.
- Exception handling: forgot to badge, the reader failed, worked at another site — with a manager's confirmation.
- An integration rather than an export: a file once a month is no faster to react to than a paper log.
